While this is a remote role, you must be able to drive to Worcester, Massachusetts 1-2 times per week as needed.
Role (Overview of the Position):
As Executive Assistant to the CEO, you are responsible for supporting the CEO both personally and professionally. You need to be highly aware of the CEO’s personal and professional responsibilities, commitments, and workload and assist in managing and completing those. You will provide personalized administrative support in a well-organized and timely manner. You will need to act proactively and without guidance while understanding the needs and characteristics of the CEO and people with whom you work with.
Responsibilities (Tasks Associated with the Role):
Managing the CEO’s calendar and coordinating appointments and meetings.
Sending emails on behalf of the CEO.
Scheduling personal appointments on behalf of the CEO.
Organizing and maintaining organization of the CEO’s home office.
Coordinating purchasing and sending gifts on behalf of the CEO.
Researching and booking travel arrangements for the CEO and family.
Collecting, editing, and organizing testimonials from clients and customers.
Managing company billing and delinquent outreach.
Attending company meetings as needed.
Taking photographs for marketing purposes such as flat lays, lifestyle shots, candids, etc.
Creating weekly and daily overviews for the CEO with reminders, schedule, tasks, etc.
Completing various administrative tasks for the business as needed.
Understanding the ultimate vision of a home project and creating a plan to execute from there.
Gathering inspiration and samples for home projects.
Ordering materials for home projects.
Researching and interviewing potential service providers.
Managing, scheduling, and meeting with all service providers for home projects.
Reviewing and paying invoices of service providers.
Running errands like getting the oil changed, going to the post office, and more.
Handling requests and queries appropriately.
Results (Expected Accomplishments):
Managing home renovations
Protecting CEO’s time and schedule
Ensuring the CEO makes progress on personal goals and projects
Working with team members and taking photographs for marketing purposes
Anticipating the needs of the CEO and making sure she feels supported
Requirements (Expected Proficiencies):
Proven work experience as a Personal Assistant or Executive Assistant
Expert in Google Drive, Google Calendar, and Gmail
Outstanding organizational and time management skills
Excellent verbal and written communications skills
Ability to multitask and prioritize daily workload
Discretion and confidentiality
Project management skills
Passion in interior design and architecture
Experience with photography and photo editing
Ability to think quickly, solve problems, and switch between tasks with little notice
Works with no attitude and no ego
Available between Monday - Friday from 8 AM - 4 PM Eastern for most days but available outside of that as needed
Available to come to the CEO’s home, manage appointments with service providers, and run errands 1-2 days per week as needed
